Q.What should an effective employee E-mail policy contain?

A.Your employee handbook or manual should contain a Computer, Internet and Email Use Policy. An effective Computerm E-mail and Internet use policy should contain the following provisions:

  1. The company reserves the right to monitor and access all employee computer, e-mail and Internet use.
  2. The company will maintain copies of all Internet and e-mail passwords, and may use them to monitor employee use and for any other legal purpose.
  3. Access to any website that is discriminatory, offensive, illegal, obscene, or pornographic is prohibited.
  4. Electronic communications must be used solely for company business.
  5. The Internet must be accessed solely for company business.
  6. Transmission of any illegal, discriminatory, offensive, political or unprofessional messages is prohibited.
  7. Posting of opinions on the Internet via a company computer, particularly any opinion of a political or discriminatory nature, is strictly prohibited.
